Scenario changes to an estimated work order, will be re-estimated. Estimating and detailing takes diligent attention; where we check the material availability, image application method, decoration supplies, job specifications, work order confirmations between us and decoration, work order confirmation between us and the buyer, production time and shipping. For a custom branding work order: Each item has specific areas possible for decoration. Each area or location will have image size perimeters. We have suggested image sizing and standards.
We with your input, and our diligence we put these details together, and confirm the work orders with a Confirmation Proof. Every production run, will require your proofing and acknowledgement, prior to production. We decorate to order to fulfill your vision of each branded promotional item and garment.
Detailing Survey. - Required for each individual promotional item. Take note on the following for each item you need branded.
1.) Supplier/Warehouse where your items of choice are picked.
2.) Item Number Found through links to our suppliers. We will provide the items; do not purchase your own materials. Each item has its own unique item number. The blank material suppliers are located on our "Apparel Warehouse" page. (The style number of an item is the universal manufacturers number). We can utilize that number to further shop for availability and pricing from multiple warehouses. Several suppliers carry the same item and apply their own Item Number. It is wise to check inventory for each size if each color of each item. It is helpful for us if you identify alternative items, in case of out of stock and availability issues. Some apparel styles offer a men's and women's companion. We have more suppliers than we link up to our website. If you can't find something you’re looking for, please, feel free to ask. We can find your frisbees!
3.) Item color.
4.) Quantity for each size of each color. We will confirm the availability of each size of each color. (With apparel most small (S) through extra-large (XL) are priced’ the same; then (XXL), then (XXXL). Larger things need more material to make them). (Therefore, the small (S) garments are thicker than the extra-large (XL) garments).
5.) Number of Decorated Locations on each item. List or describe the locations.
6.) For each decorated location: Include your images. Ask for our graphics help.
6A.) Image size (width first) (we have standards to suggest) (There are parameters with each location.)
6B.) List the number of colors used for each location. (reference "image Color Charts" page. (The Pantone numbers help) (custom ink mixing fees can apply for non-stock colors.
7.) Providing us with (Vector art*) and your (Digitized File*) is awesome. Formatted graphics can help with font matching. We also can do the art and properly format it. We use vector art for printing. We use digitized art for direct embroidery and patches.
7A.) The fonts for the text. Include them. List them. Often specific font (type face) is a strong required part of a logo.
For each Item that we will decorate, will be detailed and estimated as a separate custom work order.
We provide the items (the promotional and apparel products) and decorate them. They come from our Suppliers. Do not buy your own blank items and ask us, to decorate them. That does not really save your bottom line. We save you the cost with our price point. There are liability issues involved with decorating customer supplied material. There are also possible misprint and replacement issues. We are set up with many suppliers as: vendor, distributor, broker, or partnered affiliate; as our position is professional. Often blank material could be pulled from multiple warehouses, affecting freight and logistics. We also buy additional materials for the production overrun. Sometimes we can offer the overrun items at a discounted price. Our total business with our material suppliers, is how we get our price point, which we reflect onto you. We handle the shopping for product availability, choosing from closer suppliers and looking for sale pricing. Our pricing is competitive if not below competitive. Our pricing is where it needs to be, and on the wire. Our industry is saturated and competitive. We have the perseverance needed to exist. Remember we assume your total business and purchasing power, to offer lower price levels as well. Loyalty wins it. Communication wins it.
*Note on re-estimating: Any change, in any of the work order details, will change pricing. Feel free to ask us how to save costs. Tell us your priorities and budget. For example most products can be switched to a similar like item or brand, with your confirmation. Often the exact same work order, can be applied, to multiple garment types on the same production run and save you serious pricing. The larger a production run, will further spread out, set up and other factored costs. For example: T-shirts, Crew neck sweatshirts, and Hoodies can be decorated, on the same run, when they have the exact same work order; lowering each units price. Going back to press with alternate colors and image size will be another unique work order and production-run.
*Notes on embroidery cost:
*Digitized Files are the stitch map of an embroidered image. The size could be adjusted very slightly. Digitized files should not really be adjusted.
*There is an Art to this part of the project. There are multiple ways to digitize an image, concluding with: various looks a stitch counts. When an image size needs changed, it will have to be digitized at the new specific dimensions. Different dimensions of the image will have a different stitch count, therefore, different cost. Resizing the image can drastically affect your cost. Outlines to shapes will drastically add to the total stitch count.
*Digitized Files, (the stitch map,) are proprietary. The Digitized Data File and the Virtual Image File, should be forwarded to the customer. The Digitized Data File includes specifications: Dimensions, Stitch count, Map of each thread color. The Virtual Image File is a mock image of what the embroidered image will look like.
*Embroidery is charged by the number of stitches (the Hammer Time!) An order is often priced in brackets of total quantities, with price breaks, on larger decoration runs.
Keep the following files together:
*1) The file name of a Digitized File should be clear. Example:
“Image name / Width X Height / # of Stitches / Digitized File”
Digitized Files most often have the extensions: (.EMB) and or (.DST)
*2) Digitized Files come with a Digitized Data File. (.PDF) extension.

*Note on vector printed images:
The total number of colors in each printed image on each location affects costs. Resizing vector graphics is easy. Each size and color sequence of each image of vector art will have its own file name. The vector art is proprietary. Vector formatted images turn the text to art, and eliminate font matching issues. These details will be presented to you, with a visual Confirmation Proof, prior to production. Your acknowledgement or sign off is required, for each image, on each location, of each item, that we custom decorate. Let us keep it tight!
